Common Apostille Rejection Reasons and How to Avoid Them

Apostille rejections cost time and money. Learn the most common reasons documents get rejected — and how to make sure yours sail through on the first try.

A rejected apostille means your document is sent back, your timeline slips, and you lose money on re-submission. The frustrating part? Most rejections are completely avoidable — they come down to a handful of common, easily-corrected mistakes. Here's what to watch for so your documents sail through the first time.

1. Submitting a Photocopy Instead of a Certified Copy

This is the #1 rejection reason. An apostille can only be attached to an official, certified copy or original — never a plain photocopy. For birth and marriage certificates, you must order a certified copy from the state vital records office or issuing county, not scan or copy the one you already have.

2. Skipping the County Clerk Certification

Many states require that notarized documents — and documents issued by a county — first be certified by the county clerk before the Secretary of State will add an apostille. Skipping this intermediate step is a surefire rejection. The requirements vary by state and county, which is exactly why working with a nationwide service pays off.

3. Incorrect or Expired Notarization

The notary's signature, seal, or commission expiration all matter. A document notarized by a notary whose commission expired — or with a missing/invalid notary seal — will be rejected. The notarization must also be complete at the time you submit, not after.

4. Mismatched Names Across Documents

If your passport, birth certificate, and marriage certificate show different versions of your name (additions after marriage, nicknames, order swapped), the consulate or apostille authority may reject the set. You'll often need to provide the connecting legal document — a marriage certificate or name-change order — to tie the records together.

5. The Wrong Type of Certification for the Destination

Not every country accepts apostilles. If your destination is not a Hague Convention member, an apostille won't be recognized — you need embassy legalization instead. Using the wrong process wastes an entire round-trip. Always confirm whether your destination country requires an apostille or a full embassy/consular legalization chain.

6. Alterations or Missing Information on the Document

Documents with visible alterations, incomplete fields, or missing signatures and dates are commonly rejected. The issuing office must also be able to verify the document — if it can't locate the original in its records, no certification will be issued.

7. Sending It to the Wrong Office

State documents and federal documents go to different authorities. Sending a federal FBI check to a state office (or vice versa) sends your submission into limbo. Knowing whether your document is state or federal determines the office — and the fee — from the start.

How to Avoid Every One of These

The only reliable way to guarantee first-time acceptance is to have someone who does this daily review your documents and handle the chain of certification correctly. That's exactly what CieloSky does — we verify your notarizations, handle county certifications, match the right process to your destination country, and submit to the correct office the first time.
